This error normally comes up when outlook Inbox could be damaged.

It would be worthwhile to see if the Inbox.dbx file is the problem. First move the messages you want to keep to one or two new Outlook Express folders (or otherwise backup the messages). Try sending and receiving before renaming or deleting the Inbox.dbx file. If the a new Inbox or other folder does not resolve the issue it might be easier to create a new identity than finding the damaged DBX file through trial and error. Messages could then be imported into the new identity.

Tip: Compacting messages in Tools, Options, Maintenance, Cleanup Now might allow sending/receiving again. Do this in offline mode to lessen the risk of corruption. If this works it would be a good idea to reduce the number of messages kept in the default Outlook Express folders.

1. Click Start, point to Programs, point to Accessories, and then click
Windows Explorer.
2. In Windows Explorer, on the Tools menu, point to Find, and then click Files or Folders.
3. You may need to include hidden files and folders (Windows 2000 and XP).
4. Type Outbox.dbx in the Named box, and then click Find Now.
5. Right-click the file name, and then click Rename.
6. Rename the file to Outbox.old.

Note that deleting a .dbx file also deletes any e-mail messages or other
data in the folder. The Store folder can be found in Tools, Options,
Maintenance tab.Store Folder. The text for the path can be copied using a right-click and then entered in the Start, Run box. OK to open the Store folder. Each identity has its own Store folder. Disregard this method if Outlook Express cannot be opened.

Restart Outlook Express.

Open the Store Folder

Instead of using search the store folder can be opened directly. Each
identity has its own store folder.

a.. In Outlook Express click on Tools, Options, Maintenance tab…Store
Folder.
b.. Place the cursor at the left of the text of the path to the folder.
c.. Drag the cursor to the right until the text scrolls to the end.
d.. Right-click on the text and choose Copy.
e.. In the Start, Run box right-click Paste. Click OK to open the store
folder.

Using Keyboard Shortcuts for Transfer of the Folder Path

An even easier method when opening that page is to use the Tab to
highlight the folder location, then Ctrl+C and close OE, then use Start/Run and Ctrl+V. Same caveat about hidden files applies but can be easily modified in Explorer by using Tools/Folder Options.

554 Maximum hop count exceeded. Possible loop

Normally this error comes up when your domain have more than one MX records on same priority and one of the MX is not responding.

To resolve this issue check that all the MX are responding properly or delete the MX records from DNS Zone which are not responding and problem should go away for you.

Message Archiving

This feature is available in Enterprise Edition only

Message Archiving is a method of storing all email traffic for a domain in a separate location on the mail server. Typically, this is a feature used for companies that need mail servers in compliance with the Sarbanes-Oxley Act of 2002. Message archiving allows you to set up rules for saving messages for specific domains.

To get started, click the Settings button on the main toolbar, then select Message Archiving from the Routing tree view.

Note: Archives are not deleted by SmarterMail, and as a result they can get very large. Be sure to check your archive folders regularly to see if they should be backed up and removed from the hard drive.

Adding / Editing a Rule

To apply an archiving rule to all domains on the server, click on “All Domains” in the list. To add a rule for a single domain, click on New Rule icon.

Domain – The domain that should be archived, in the format of example.com.

Archive Path – The path on the hard drive that should be used to store the messages.

Rule – Choose to save none of your messages, all messages, incoming messages, or outgoing messages.

SmarterMail 6.x provides nearly all of the power and flexibility of Microsoft Exchange while dramatically reducing the cost of management and ownership by as much as 80%. Today, more than 15 million mailboxes worldwide use SmarterMail through enterprises, small businesses, and service providers.

SmarterMail 6.x
Planned SmarterMail 6.x features include:
  • Add-On Licensing System
    • ActiveSync
    • Commtouch
  • Collaboration, Synchronization and Over-the-air Mobile Communications
  • Anti-Spam Enhancements
  • Mailing Lists
  • Additional Features

SmarterMail 6.x will also include additional fixes and changes. This page will be updated with more information as it becomes available.

In addition, SmarterMail 6.x will change configuration files, eliminating the ability to uninstall and reinstall to a previous SmarterMail version, such as SmarterMail 5.x. The features found in SmarterMail 6.x will further secure SmarterMail as one of the most powerful, stable, flexible, and cost-effective mail and collaboration servers on the market.

Add-On Licensing System

The release of SmarterMail 6.x will introduce the add-on licensing system, which allows SmarterTools or third-party companies to extend the software’s functionality across all SmarterMail editions. Initially, the following optional add-ons licensed by SmarterTools will be available for SmarterMail 6.x:

Microsoft ActiveSync
SmarterTools has licensed the Microsoft ActiveSync technology, allowing for over-the-air synchronization and push email to a wide range of mobile devices, including iPhone, Windows Mobile devices, Palm devices, Palm Pre (Web OS) devices, and Nokia devices. The ActiveSync add-on is based on a yearly subscription and will be licensed in user packs.

Commtouch Logo
SmarterTools has partnered with Commtouch to provide a highly accurate and efficient premium spam solution. The Commtouch add-on will be based on a yearly subscription and is licensed in conjunction with the level of SmarterMail you are running (example SmarterMail 50/250).

Collaboration, Synchronization, and Over-the-air Mobile Communications

SmarterMail 6.x will continue to offer previous technologies for synchronizing calendars, contacts, tasks, and notes to desktop applications and mobile devices. Specifically, SmarterMail 6.x will include:

  • SmarterMail Sync for Windows Mobile Devices and Microsoft Outlook
  • SyncML for Blackberry, iPhone, Nokia, Windows Mobile devices , Thunderbird, and Microsoft Outlook
  • The ability to integrate with the Funambol service for push email on certain devices
  • The ability to integrate with the Blackberry Internet Service (BIS) for push email

SmarterMail 6.x also introduces a new collaboration and synchronization method with the optional Microsoft ActiveSync add-on. The Microsoft ActiveSync protocol requires SmarterTools to license per mailbox on a subscription model. ActiveSync will push calendars, contacts, tasks, notes, and email to devices that support ActiveSync, and SmarterTools administrators can manage which mailboxes can have this functionality.

In addition, SmarterMail 6.x will offer another method of collaboration for Microsoft Outlook 2007 and higher users. Using new two-way synchronization found in SharePoint 2007, Outlook 2007 users can simply “add” a calendar or contact/address book into Microsoft Outlook. No add-ons or products need to be installed, and all users can manage items offline in Outlook and/or on the server .

Anti-spam Enhancements

Although SmarterMail 6.x has a premium anti-spam add-on option, many customers will find the enhanced out-of-the-box anti-spam functionality of SmarterMail 6.x to be sufficient spam protection. Anti-spam enhancements planned for SmarterMail 6.x include:

  • The Open Source SpamAssasin for Windows has been removed due to limitations of the implementation
  • SmarterTools has developed a SpamAssasin Pattern Matching option that is based on SpamAssasin and integrated directly into SmarterMail. This option is highly efficient and will allow for much larger number of messages to be processed than the SpamAssasin for Windows implementation
  • DKIM is now integrated into SmarterMail
  • Support for URIBL checking is integrated into SmarterMail
  • Additional features are available for Greylisting:
    • Enable Greylisting on connections that have certain spam weight levels
    • Enable Greylisting for IP’s from certain countries
    • Enable Greylisting for IP’s based on certain ranges
  • To simplify the upgrade process to SmarterMail 6.x and for new SmarterMail installations, the Getting Started Wizard includes predefined spam configurations that take all the spam options available in SmarterMail (RBLs, SpamAssaisn, URIBL, DKIM, etc.) and associates them to spam protection performance and system resources. System administrators will now be able to choose one of these defined solutions and, as always, they can be uniquely configured and defined

Mailing Lists

Mailing lists have been completely revamped to include features usually found in third-party marketing and mailing list solutions—not in mail server products. The mailing list features and improvements will include:

  • Bounce detection has been added to all mailing list emails. Bounce detection will benefit system administrators and mailing list moderators
    • For system administrators, a mail server can get backed up from mailing lists that become stale and produce large volumes of bounced messages. Although SmarterMail provides tools such as throttling and priority spooling to prevent this from happening, eliminating as many bounced messages as possible will increase the health of the server
    • To keep mailing lists clean moderators can set bounce limits and can monitor total bounces for a mailing list and subscriber
  • SmarterMail 6.x includes a subscriber database that can be populated manually, automated through Web services, or imported through comma delimited files. The subscriber database holds all subscribers and each subscriber can be associated to multiple mailing lists
  • Custom fields can also be associated to subscribers to manage additional information
  • All emails sent through the mailing list can use mail merge variables. This allows messages to be personalized to each individual within a mailing list
  • Manage Messages page is now available to create and store messages that you may want to send to a mailing list. The ability to preview the message using subscriber information when using mail merge variables is also available. Common usage for this could be to notify certain users of a product update, which could also be personalized with their name and other unique information
  • Mailing list command messages can now be customized
  • Double opt-in feature is now available to help eliminate forged mailing list subscribers
  • Unsubscribe links can be added to mailing lists to help reduce bounced messages or limit moderator maintenance

Additional Features and Optimizations

    • Download All Attachments is now available and is provided via a compressed .ZIP file. This eliminates the need to spend time downloading attachments individually
    • Uploading of attachments now displays a progress bar
    • The Web interface now allows for multiple SMTP identities. Users with multiple email accounts will now be able to send messages from multiple identities while operating the Web interface. Additional identities do not need to be SmarterMail accounts—just a valid SMTP account is necessary
    • Messages are now displayed in an infinite scrolling grid that simulates a Windows application. As a result, users do not have to page through messages
  • Archiving Messages
    • Archiving of messages in and out of the system has been dramatically enhanced. System administrators can now search and view the messages in the archive for one or more domains. Domain administrators can now search and view messages within the archive
    • Added the ability to download messages from the archive
    • Archived messages are now indexed so that they may be searched. Previous archives will also be indexed and searchable
  • Mailbox Importing
    • SmarterMail 6.x introduces the ability to import messages from mailboxes on other servers such as Microsoft Exchange, Imail, Merak, and many more. This functionality is available at the domain administrator and user level, allowing users to transfer their accounts from other companies or service providers. This could be used a sales and marketing opportunity and should ease the transition of migrating mail services
    • Future versions of SmarterMail (6.5, 7.0, etc.) will also include the ability to transfer calendar, contacts, and other resources
    • Along with POP3 importing, IMAP importing is now available
    • When POP3 or IMAP importing is used, spam filtering and content filtering can be applied to the incoming messages

Subscribe to a New Feed

To get started with an RSS feed; click the Workspace button on the main toolbar, then select Root from the tree view. This will display a list of your RSS Feeds.

Click a specific RSS Feed in the Root folder to view the contents of that feed.

Subscribe to a New Feed

This can be accomplished two different ways:

  1. Click New Feed from the left tree view, or
  2. Click the New icon from the actions toolbar.

Adding a feed requires two pieces of information:

  • Name – Enter a friendly name for the feed. Typically, you’ll want to make this a short name so you can easily find it. You can use a backslash character to make the feed appear in a subdirectory, such as in News\Fox News or Technology\Microsoft Updates.

URL – The feed URL must be entered exactly as it is written in the web site you want to track. Some sites do not offer RSS, and those that do usually have a link from their web site to the RSS feed.

Manage RSS Folders

Adding a Folder – A folder can be added a couple different ways. You can click the Plus Sign icon on the Folder toolbar; or move your mouse above a current folder, right-click, and choose New Folder. In both instances a new window will pop-up, allowing you to name your new folder.

Go To Folder – Click on a folder name to see the messages contained in the folder.

Rename a Folder – You can rename a folder by clicking on the folder you would like to rename and then clicking the Pencil icon on the Folder toolbar; or by moving your mouse over the folder that you would like to rename, right-click, and choose Edit. A new window will pop-up showing the current name of the folder, and a blank space will be available for a new folder name.

Delete a Folder – First choose the folder you would like to delete. Then either click the Trash Can icon on the folder toolbar; or right-click and choose Delete. A new window will pop-up asking you to confirm your deletion. At that point you may either continue with the delete, or cancel it.

Custom Reports

The use of custom reports allows a user to accumulate data using very specific parameters. For example, a CEO of an organization may want to group related report items into one report to get an executive report of all their managers. To get started, click the Reports button on the main toolbar, then select Add Custom Report from the Custom Reports folder tree view.

Once you click on add custom report, you will be asked two things:

  1. Custom Report Name
  2. Default Date Range

Once you complete those two fields, click the Next icon from the actions toolbar.

Report Items

You will see four icons on the actions toolbar in this tab—Save, Add Item, Edit, and Delete.

Save – Clicking this icon will allow you to save your custom report as you go along.

Add Item – This allows you to add what parameters you would like your report to follow.

Report Item – Choose the report you would like to use from the drop down list.

Delete – This icon will let you delete a custom report.

Global Address List

This feature is available in Enterprise Edition only

The Global Address List, sometimes referred to as “GAL”, is a dynamic list containing all users on your domain. The Global Address List can be managed by your domain administrator in order to hide users that may not represent real people (like support@example.com, for example).

Contact information for the Global Address List is pulled from individual profiles of users. To update your listing, click on the Settings button, click the Settings control bar in the left pane and choose Account Profile in the My Settings tree.

Note: All information you enter into your profile can be seen by all other members of your domain.

The Global Address List functions in a way almost identically to My Contacts.

Create a New Message

There are several ways to begin composing a new message in SmarterMail. The most common method is to click on New Message in the sidebar. The only field that is absolutely required to send an email is the To address.

Action Buttons

Send – Sends your message out to the recipients.

Save as Draft – Saves the message in its current state to the Drafts folder. If you do not have a Drafts folder, one will be created automatically the first time you choose this option. You will then be able to go back to your Drafts folder and continue composing this email.

Cancel – Cancels the new message and returns you to where you came from. Clicking the Cancel icon will delete the draft you were working even if you have not clicked the Save as Draft icon.

Tabs

Options – Click on this tab to request a read receipt and/or declare what the importance level of this message is—Normal, Low, or High. Normal is the default level chosen.

Attachments – Click on this tab to add attachments to your email. Remember to hit Upload once you have found the file what you want to attach. Please bear in mind that there are limits to the size of attachments imposed by many email systems on the internet today.

Message Envelope Items

To – Enter a recipient’s email address, or click on the “To:” link to select a recipient from your contact list. Separate multiple contacts with a semicolon (;).

Enterprise Edition Only: You can also add members of your Global Address List to an email by clicking on the “To:” link and changing the list source from My Contacts to Global Address List.

Cc – The Cc field should contain recipients that should receive “carbon copies” of the message, but are not the primary intended recipients of the message.

Bcc – Bcc represents people who should receive “blind carbon copies” of the email, addresses that are not the primary intended recipients of the message where but nobody else can see that they received it.

Note: When entering addresses into the “To:”, “Cc:”, and “Bcc:” fields, SmarterMail will auto-complete addresses when possible by referencing your contacts list or the Global Address List (GAL)if applicable.

Subject – Enter the primary subject of the message.

Compose Area

Depending on your browser and your configuration settings, you may see an HTML editor or a text-only editor. Enter the content of your email in the box.
