Folder Auto-Clean in RightMX Enterprise

Folder Auto-Clean
Folder Auto-Clean is a method for limiting how much of your account disk space is used by the Junk E-Mail, Sent Items, and Deleted Items folders. By placing limits on the size of these folders, you can help ensure that your account does not fill up unnecessarily. Messages are deleted from the folders in the order that they were received so that older messages get deleted first.

To check your possible options, click the Settings button on the main toolbar, then select Folder Auto-Clean from the Filtering folders tree view.

Note: Depending on the policies your administrator has established, you may or may not be able to change the settings on this page.

Note: If auto-clean is active on a folder, messages will get deleted from it eventually, so do not keep messages in that folder if you want to keep them.

Options
Use default auto-clean settings – Choosing this option will let you adopt the policy of your email host or domain administrator. If the administrator changes the policy, yours will automatically change with it. You can see the current policy on the Folders tab when this option is active.

Override auto-clean settings for this account – Choose this option to override the settings set by your administrator. Any changes you make will not be affected if the administrator changes their policy, unless they disable user overrides.

Inbox auto-clean – Users can use the auto-clean feature, if permitted by the System Administrator.

Folder Settings
If you are using the default auto-clean settings set up by your administrator, they will appear on this tab. In cases where you are able to override the settings, you have the option of auto-cleaning folders based upon size or date.

These options will be visible if size is chosen:

* Folder size BEFORE auto-clean – Once the folder reaches this size (in megabytes), the auto-clean process is started, and older messages (messages that were received the longest time ago) are cleaned.
* Folder size AFTER auto-clean – This is the goal size for the auto-clean process. It will try to delete older messages until the folder gets to this size. This number should always be lower than the “before” number.
* Enable auto-clean for this folder – If this box is checked, then auto-clean will be active for the specified folder.

These options will be visible if date is chosen:

* Mail Age – Enter the maximum number of days mail will stay in the current folder. Once a message reaches that age, it will be deleted.
* Enable auto-clean for this folder – If this box is checked, then auto-clean will be active for the specified folder.

My Today Page in RightMX Enterprise

The My Today page gives you an overview of your entire account.

Calendar – lists upcoming events on your calendar.

Latest RSS Items – list recent updates to RSS feeds you are subscribed to.

Inbox – lists how many unread messages you have.

Disk Space Limits – lists how much space is available and how much space is being used in your account. Press the “Clear Junk E-Mail Folder” link to remove all items from your Junk e-mail box.

Tasks – lists unfinished tasks.

The My Today page is the default page to load when logging into your account. If you would rather go straight to your Inbox you can change it by clicking on the Settings button on the main toolbar, then selecting Account Settings in the My Settings tree view, and finally choosing the Webmail tab and changing the “Initial Page on Login” setting.

Read Receipts feature in RightMX Enterprise

You can Check it using Settings option available in RightMX Enterprise Webmail. To do the do the following steps:

* Login into webmail
* Click on Settings -> My Settings -> Account Settings
* Click on Compose
* Click on Enable read receipts by default Check Box and Click on Save

Enable/Disable Greylisting for a user

You can Check it using Settings option available in Webmail. To do the do the following steps:

* Login into webmail
* Click on Settings -> My Settings -> Account Settings
* Click on User
* Click on Disable Greylisting Check Box and Click on Save

How does work the Delaying filter (Greylisting) ?

Delaying is an additional method we provide you to block significant amounts of spam at the mailserver level, but without resorting to heavyweight statistical analysis or other heuristical approaches .This method is also called “Greylisting”.

Delaying works on the idea that a correctly configured SMTP server will always attempt re-delivery of an email message if it gets a soft failure.

How does it work exactly ? When someone send an email to our server (and you have the delaying filter enabled), it will return a 451 error (soft failure) which requests deliverly again later. If the sending mail server is correctly configured it will reattempt deliver in X number of minutes. (it depends upon his configuration) .

If the sender mail server waits and redelivers , the triplet (email address, domain,IP) gets whitelisted (delaying whitelist) and you’ll receive the email . When will you receive the email ? If the mail server is configured correctly you should receive the email after min minutes (default embargo time) and max hours (default wait time) . If the sender mailserver doesn’t reattempts the deliver (and the spammers usually do not reattempt the deliver) the email will be rejected after the wait time ( hours) and you’ll never receive the spam message.

May I lose some valid email ? Only if the sender (mailserver sender) is not configured to reattempt the deliver the email will be rejected. You can even whitelist the domains which you wish to override from Greylisting by whitelisting the sender domains/emails from your webmail and those senders would not be included in the greylisting.

Once the mail server retries the sender ip/domain is recorded in the whitelist of the server and any mails in next 30 days would not be delayed.

The feature works wonderfully and is used as a very effective anti spam technique. Remember you won’t lose any mails with this unless the sender server is not configured to retry, by default every server is designed and configued to retry the mail unless its a spammer’s server.

Set up mail forwarding

To set up a forward in RightMX Enterprise:

1. Login to the web interface log in as a User with your username and password
2. Click on Settings
3. Click My Settings
4. Click on the Forwarding tab
5. Enter the address you want mail forwarded to
6. Select the Forwarding exclusion
1. No restriction – forward all email
2. Do not forward Spam Low and above
3. Do not forward Spam Medium and above
4. Do not forward Spam High and above
7. Then, click Save

If you only want to forward a specific email:

1. Log into the web interface
2. Click on the Inbox and then select a message
3. Click the Forward button
4. Enter the email address that this email will be forwarded to
5. Click Send

Set up POP in Outlook 2003

POP is a protocol used to retrieve email messages from an Internet email server. Generally, when you use POP is it best to use it from one particular computer. When you download your messages, the POP email server stores them for your later retrieval. If you go to another computer to connect and retrieve that same message, it will no longer be on the POP server.

You can also download a copy of new e-mail messages and not delete items from the POP3 e-mail server. This is useful if you check your POP3 e-mail account from a number of computers or profiles. For example, you can download a copy of the messages on your work computer, and then on your home computer, you could download the e-mail messages and delete them from the POP3 server.

If you’d like to setup POP on your Outlook account:

1. On the Tools menu, click E-mail accounts
2. On the email accounts page, select add new email account
3. On the server type page, select the POP3 radio button and click next
4. On the email accounts page, type in all the information requested, i.e., your name, email address, etc
1. Click More Settings
2. Click the Outgoing Server tab
3. Check My outgoing server (SMTP) requires authentication
4. Click OK
5. Click next and then Finish

Install and Configure AstraSync for the BlackBerry

Blackberry does not directly support over-the-air synchronization with Exchange ActiveSync, you can purchase AstraSync, a third-party application that enables Exchange ActiveSync functionality on the BlackBerry.

Follow these steps to install and set up AstraSync on your BlackBerry:

1. Open the BlackBerry browser on your phone.
2. Navigate to the AstraSync download page at www.astrasync.com/dwl and log in with the email address and password you chose when you registered at AstraSync.com.
3. Choose the over-the-air download and install option and click Download.
4. Click Yes to the security warning.
5. Wait for the download to complete and AstraSync to install.
6. Click Run to load AstraSync for the first time.
7. Click Yes on the data modification and access security warning.
8. Turn off desktop synchronization in the BlackBerry Desktop Manager to avoid data duplication.
9. If you have content protection enabled, exit AstraSync, turn it off and re-start AstraSync from the Downloads folder.
10. Accept the AstraSync License Agreement
11. AstraSync will test your device’s connectivity and choose the best network connection method. You may be prompted to allow the network connections.
12. Click Next once the connection type has been automatically selected.
13. Complete the required email and server information:
* In the Email Address field, type your full RightMX Enterprise email address (i.e., example@example.com).
* In the Server field, type the URL you use to access the RightMX Enterprise Web interface.
* In the Domain filed, type the domain (i.e., example.com).
* In the Username field, type your full RightMX Enterprise email address.
* In the Password filed, type the password associated to your RightMX Enterprise email address.
14. Click Next.
15. AstraSync will test the connection. Click Next.
16. AstraSync will display a list of collaboration items to sync. Choose from the list and click Next to initiate the first sync.

Create a Mailing List

Mailing lists are a good way to send a message or series of messages to many people at once. For example, many companies use mailing lists to email newsletters, promotional offers, or information about product updates to subscribers.

NOTE: The mailing list feature must be enabled for the domain before creating a mailing list.

Follow these steps to create a new mailing list:

1. Log in as the domain administrator.
2. Click Settings in the main toolbar.
3. Click the Settings navigation pane.
4. Expand the Domain Settings and Mailing Lists folders.
5. Click Mailing Lists in the left tree view.
6. Click New in the actions toolbar.
7. Click the List Settings tab and complete the appropriate fields. The Name and Moderator fields are required. All other list settings are optional. NOTE: Setting the Allowed Posters option to Anyone or Subscribers Only can cause spam issues. Generally, Anyone should never be used, and Subscribers Only should be used for digest mode.
8. Click the Options tab and select the appropriate checkbox(es) to enable the desired mailing list options.
9. Click the Throttling tab and complete the appropriate fields to set up and enable the desired throttling settings.
10. Click Save.

Add Subscribers to a Mailing List.
There are two primary methods for adding subscribers to a mailing list: If there are only a few emails to add to the mailing list, domain administrators or moderators can manually add individual subscribers. If there are a large number of emails to add to a mailing list, domain administrators or moderators can upload a .csv file that lists all of the subscriber emails.

Follow these steps to manually add individual subscribers to a mailing list:

1. Log in as the domain administrator.
2. Click Settings in the main toolbar.
3. Click the Settings navigation pane.
4. Expand the Domain Settings and Mailing Lists folders.
5. Click Mailing Lists in the left tree view.
6. Select the desired mailing list and click Edit.
7. Click the Subscribers button in the actions toolbar and click Subscribers from the drop-down list. A list of subscribers to this mailing list will load in the content pane.
8. Click New in the actions toolbar.
9. Type the subscriber’s email in the Email Address field.
10. Click Save.

Upload Multiple Subscribers to Mailing Lists
Follow these steps to add multiple subscribers to a mailing list at once:

1. Log in as the domain administrator.
2. Click Settings in the main toolbar.
3. Click the Settings navigation pane.
4. Expand the Domain Settings and Mailing Lists folders.
5. Click Mailing Lists in the left tree view.
6. Select the desired mailing list and click Edit.
7. Click the Subscribers button in the actions toolbar and click Subscribers from the drop-down list. A list of subscribers to this mailing list will load in the content pane.
8. Click Upload in the actions toolbar.
9. To select a file to upload, click Browse. NOTE: Only emails saved in .csv files can be uploaded and added as subscribers.
10. Click Upload in the actions toolbar to upload the file. Depending on the file size, it may take a few minutes to upload.
